The main responsibility of this job holder is to organize and monitor the archiving, storage, and access to documents (which includes maintenance of all hard copy non-contract documents, soft copy documents and the retention and disposal of documents), and ensure that these activities are carried out effectively and efficiently.
Duties & Responsibilities:
- Support the Administrative Department,all other members of the department in effective storage and handling of all incoming and outgoing documents including mails, engineering drawings, invoices, posts, faxes .
- Prioritize between tasks provided by the HR Department and other members of the department based on urgency and importance of the tasks.
- Ensure regular follow-up with HR Department to provide all necessary support in documentation.
- Responsible for verification of all documents and processes before processing payments for vendors or Candidates.
- Responsible for comparing the invoice elements with the general terms & conditions for the contract before the payments are released.
- Manage central archiving activities for HR Department to ensure the efficient retrieval and posting/issue of documents. This include supervising the process of documents filing, organizing, indexing, classifying, and when applicable their disposal
- Proven work 2 to 3 experience as a Document Controller or in administrative role.
- Familiarity with project management.
- Basic knowledge of labor and corporate law.
- Hands-on experience with MS Office and MS Excel.
- Knowledge of Electronic Document Management Systems.
- Proficient typing and editing skills.
- Data organization skills.
- Attention to detail.
- University degree in any discipline from a recognized university.
- Fluent in English and Arabic.
